Volunteer Policy
This Volunteer Policy governs the application, selection, conduct and administration of volunteers with Vaadi e Kashmir Foundation.
1. Purpose
Vaadi e Kashmir Foundation welcomes volunteers who wish to contribute their time, skills and energy to our programmes and activities.
2. Eligibility
Eligibility requirements may vary by programme and role. General eligibility factors include age requirements, relevant skills or experience, and compliance with applicable safeguarding requirements where activities involve children or vulnerable individuals.
3. Application & Selection
Submitting a volunteer application does not guarantee selection. The Foundation reserves the right to accept, defer or decline applications based on programme requirements, capacity, eligibility, background considerations and operational factors.
4. Conduct
Volunteers are expected to conduct themselves professionally, respectfully and in accordance with the Foundation's values. Volunteers must not engage in behaviour that is harmful, discriminatory, abusive, fraudulent or contrary to applicable law or Foundation policies.
5. Confidentiality
Volunteers may have access to confidential information relating to beneficiaries, donors, programme operations or other Foundation matters. Such information must be treated as strictly confidential and not disclosed without authorisation.
6. Safeguarding
All volunteers involved in activities with children or vulnerable individuals must comply with the Foundation's Child Protection & Safeguarding Policy.
7. Expenses
Volunteers are generally unpaid. Reasonable, pre-approved out-of-pocket expenses may be reimbursed in accordance with the Foundation's applicable expenses procedures. Volunteers should confirm reimbursement eligibility before incurring costs.
8. Termination
Volunteer engagement may be ended by either party at any time. The Foundation may terminate or suspend engagement for conduct violations, safeguarding concerns, fraud, abuse or policy violations.
9. Privacy
Volunteer information is collected and processed in accordance with our Privacy Policy. Information is used only for volunteer selection, administration, communication and safeguarding purposes.
